Requests for large numbers of user account changes need to be made using the whole establishment bulk user request page.
This is found under User Accounts >> User Request (whole establishment bulk).
How to create/edit a large number of user accounts
Click on the bulk creation spreadsheet link and complete the spreadsheet before the submitting it.
The (spreadsheet) process is designed for establishments unable to use either USO-AutoUpdate or GroupCall (both of which export data automatically direct from an establishment's Management Information System, or MIS) at present.
The spreadsheet must contain account details for the whole school (all staff, all pupils, or all staff and pupils combined) - partial lists submitted may result in unwanted changes to existing accounts. Most MIS products allow data to be exported in CSV or XLS format which can then be imported into the standard spreadsheet.
The spreadsheet contains a second tab with a key to required data fields and an example of how it should be filled in.
Please also fill in as many of the optional fields as possible. This will make user account administration easier in future if your LA or school subscribes to additional services.
Enter the required details in the spreadsheet, save the file to your computer then upload it using the page in the support site.
Once you have uploaded the spreadsheet and submitted it, a support case will be created automatically and the file will be forwarded to the database administrators for processing.
You will also receive email confirmation that the case has been raised. This case will be updated once the spreadsheet data has been submitted to the automated system for final processing.
Where there are any issues arising from this process (staff/pupils not being matched, for example, due to data discrepancies or other ambiguities), they can be viewed and addressed via the Whole School Bulk Results section under the User Accounts tab.
Why do it this way?
Using the spreadsheet in the current form simulates the data provided through automated exports and allows quicker bulk processing as data is supplied in a standardised format.
This allows changes to be processed faster than in the past as well as ensure that user data is more accurate.
Wherever possible, USO-AutoUpdate software should be used instead of the manual process described above as AutoUpdate automatically exports user data from a school's MIS, guaranteeing that USO account data is accurate and up to date.
