It is now possible to grant a school staff member the statuses of Nominated Contact, Mail domain and/or WebScreen administrator via the support site, without the need to fax approval forms to the Service Desk. Instead, a Head Teacher (in possession of an OTP tag) can grant these permissions to him/herself or other staff members online.

Please note that the Head Teacher MUST have a registered OTP tag in order for this functionality to be available to a school.

Please note that once a school has reached its maximum number of Nominated Contacts, it will not be possible to create any more. If your establishment has reached its quota, you will see a message at the top of the web page that reads "No further Nominated Contacts can be set up, since this school has used its quota" and no Request or Grant links will be available.  Please raise a case with the Service Desk if this needs to be increased for your establishment.

Requesting permissions

A member of staff who wishes to request additional permissions must log into the support site and go to User Accounts >> Nominated Contact management.

The page will list all staff at your school. Staff members who are already have a permission will have a "Yes" opposite their name. If you do not already have the desired permission, you will have a Request link opposite your name.

Your name will be highlighted in red.

When you click the Request link, an automated email will be sent to your Head Teacher. The Head will then need to log in to the support site and either Approve or Deny your request. Whatever the outcome, you will receive an email notifying you when the Head has dealt with your request.

Head Teachers' options

Dealing with requests from staff members:

If a Head receives a request from a member of staff, they will need to either approve or deny the request via the Nominated Contact management page in the support site.

When the Head accesses the Nominated Contact management page they will see the staff member who has made the request as Pending and will have the option to either Approve or Deny the request.

An OTP code must be generated by the tag and entered into the text box provided. Then the relevant link must be clicked to complete the action.

Changing permissions without them requesting it

If a Head would like to grant NC, Mail domain or WebScreen admin rights, they can do this via the management page. This can be done without the person submitting a request via the support site.

Next to the name of each member of staff at the school, the Head will see a link to grant any of the three statuses. Enter an OTP code and click Grant.

The screen will refresh and display a message at the top that states the action has been successfully performed.

The person to whom this status has been granted will automatically receive an email informing them of the change.

Becoming a Nominated Contact

Head Teachers can themselves be Nominated Contacts. However, a Head will still need to do this via the support site.

To become a Contact, the Head must go to the Nominated Contacts management page and perform the actions described above.

The Head must first enter an OTP code in the box provided and then click the Grant link. This will complete the process in a single action.

Revoking permissions

When a staff member leaves a school it is important that their USO account is removed from the school. This ensures that their access permissions are revoked.

Permissions may also be revoked whilst the USO account remains active. To do so, the Head must go to the Nominated Contact management page to see the list of school staff.

All current administrators will have a Yes against their name so they can be easily identified. They will also have a Revoke link.

The Head must enter an OTP code and click Revoke to stop that person from having this status. The staff member will automatically receive an email informing them of the change.
